Toyota Administrator/Host

Purpose of the job

Based at the fully resourced and purpose built Toyota Training Academy in Burnaston Derby, the Host will provide the hosting function required to ensure the smooth and efficient running of the Toyota Academy.

Main duties and responsibilities

To be responsible for the day to day running of the reception area, duties to include:

  • Supervision of the main Academy reception during peak times (7.30am to 9.30)
  • Assist delegates or visitors with any problems accessing car park 3, or the turn stile
  • Welcome delegates and visitors on their arrival at the Academy ensuring they sign in
  • Assist delegates and visitors with the check in process if required
  • Inform the relevant person of their visitor’s arrival
  • Guide delegates and visitors to the restaurant area and cover housekeeping
  • Assist late comers by escorting them to their training room and introducing them to the Trainer
  • Handle all delegate queries during the day, offering assistance and support
  • Liaise with Burgh Heath over no-shows each morning and provide assistance to on-site trainers as and when required
  • Assist and support the Academy as and when required, including room bookings and liaison with suppliers of course materials
  • Manage Burnaston room bookings and enquiries
  • Processing awarding body registration and certification claims
  • Ensure programme cards are placed on restaurant tables
  • Print out ad hoc course names or replacements from the shared file
  • To deal with delegate arrival enquiries via phone, email and direct contact
  • To enter data into Toyota Lexus electronic records, databases and files (shared drives, backup files etc.)
  • To produce reports / management information as appropriate to the role

Essential qualifications

  • Business Administration NVQ Level 3 or working towards
  • Satisfactory DBS (Disclosure and Barring)
