Administrator – Atcham

Main Responsibilities

· To deal with general customer enquiries via phone, email, and direct contact

· Arrange learner and staff accommodation, subsistence, and travel

· Resolve any learner accommodation or travel queries and process amendments

· Update accommodation booking system with new learners & leavers and notify calendar email system

· Deal with early learner arrivals and non-arrivals on the accommodation booking system

· Produce weekly staff and learner signing in sheets for the Training Centres

· Ensure stationery, cleaning and refreshment stocks are kept up to date, and process orders

· Carry out general administrative and office tasks including, filing, telephone answering, post in, post out, data entry, record keeping, printing, binding, stationery orders etc.

· Process apprentice early leaver forms and conduct the necessary administration tasks

· Process apprentice change of details forms, update the database & ProVQ App request form

· Provide caterers with requirements on an on-going basis

· Check, amend, and distribute learner block training reports via email

· Provide administration support to colleagues, including putting portfolios together for new learners

· To be responsible for maintaining the ProVQ electronic recording databases

· Contribute to process of continual improvement & assist with the internal audit process

· To participate in CPD programmes and agree objectives with the line manager

· To comply with the Health and Safety Policies set out, and best practice in the area of security, with particular emphasis on protection of customer sensitive information

· Work to promote, implement and contribute to ProVQ’s Equal Opportunities Policy

· To apply our Safeguarding Policy and practices

· To support ProVQ in ensuring compliance with GDPR & The Data Protection Act

· To undertake other duties as may be reasonably required

Qualifications and Experience

Essential

2 or more years experience in administration role

Experience of using MS word, Excel, Powerpoint & Publisher within the workplace

Ability to accurately proof read and amend documents

Proven ability to work with high levels of accuracy

Desirable

Administration related qualification at Level 2 or above

GCSE grade 4 (C) or equivalent in English

Experience of working in a training environment

Has some knowledge/experience of hotel/travel administration/systems
